Overview

IFF Inquiry records what a customer or service partner asked for: the service, origin and destination, load and discharge ports, cargo figures, freight terms, dangerous goods details and preferred carriers. Follow-up statuses are logged against the inquiry with their dates, so the sales desk can see what was promised and when.

IFF Quotation turns that inquiry into a rate quote or a job quote. You build a cost estimate line by line, from vendor quotes and from the location tariff, with buy and sell sides in their own currencies. Make Quotation then converts the estimate into the carriage charges and local charges the customer sees.

    A draft keeps the inquiry pending and a final quotation marks it quoted. Editing an issued quotation in Maintain Quotation saves a revision under the original number.

  • Inquiry review dashboard

    See each inquiry as pending, quoted, order booked or closed, worked out from the quotation and booking raised against it, with an Excel export.

  • Quotation register

    List quotations as draft, pending or booked, open the details, add a register comment, change the customer before a booking exists, and export to Excel.

    Log the inquiry

    Enter the customer or service partner, service, routing, cargo and freight terms. A new prospect can be recorded before it exists in the customer master.

  2. Then

    Build the estimate

    Start a quotation from the inquiry so the header fills in, then add vendor quote lines and location tariff lines with buy and sell rates.

  3. Next

    Make and finalize

    Run Make Quotation to produce carriage and local charges, review the totals in the quote currency, and save as draft or final.

  4. Finally

    Follow through

    Use the review dashboard and the register to follow which inquiries were quoted and which quotations became bookings.

How is a forwarding quotation built in Sailix?

You enter the party, service, routing and cargo, then add cost lines with buy and sell rates. Lines come from a vendor quote you reference or from the location tariff. Make Quotation turns those lines into carriage charges and local charges, and Sailix totals them in the quote currency.

Can I revise a quotation after it has been issued?

Yes. In Maintain Quotation, editing an issued quotation saves a revision that keeps the original number with a revision suffix, while the basic details stay locked. A draft is edited in place. Once a booking exists against a quotation, it can no longer be edited.

Does Sailix stop me using an expired vendor quote?

Yes. Each vendor quote line carries its own valid till date. When you save the quotation, Sailix compares those dates with the quotation date and refuses the save if a referenced vendor quote had already lapsed, naming the quote reference so you can replace it.

How do I see which inquiries turned into bookings?

The IFF Inquiry Review Dashboard lists inquiries for a date range of up to 365 days and shows each one as pending, quoted, order booked or closed. The status is derived from the quotation and the booking raised against the inquiry, and the list exports to Excel.
