Freight forwarding
Overview
A forwarding desk buys before it sells. In Sailix, each rate quote you receive from a local vendor or an overseas service partner is saved as a buying rate: who quoted, the quote reference, the quote date and valid till date, the origin and destination, the route, the transit time in days, and the rate lines underneath.
Rate lines carry a tariff type of carriage, origin or destination, a tariff item, a unit of measure, a currency and a rate, and one line is marked as the basic freight. Search Buying Rates reads the same records, so the desk can find a rate by provider, service, lane or tariff item and export the result.
Capabilities
What it does
Quote header per lane
Save the provider type, vendor or service partner, vendor service, quote reference, quote date, valid till date, contact person, origin, destination, route and transit days.
Structured rate lines
Each line holds a tariff type, tariff item, unit of measure, currency, rate and remarks. Sailix refuses a zero rate and a repeated line on the same quote.
One basic freight line
Mark one rate line as the basic freight. A quote cannot be saved with no basic freight line, or with more than one.
Search across quotes
Search Buying Rates lists one row per rate line, filtered by provider type, provider, service, valid till date, origin, destination, route and selected tariff items.
Excel and PDF output
Download the search result as an Excel workbook or a PDF. The report prints the criteria you searched with under its title.
Partner and carrier masters
Location wise Service Partners lists partners by country, location and network group. Sea Carrier Profile records which vendors you book ocean freight with and their carrier codes.
Workflow
How it works
First
Set up providers
Create local vendors, service partner profiles and sea carrier profiles in the IFF masters, so quotes can be recorded against them.
Then
Record the quote
Open Buying Rates, pick the provider and the vendor service, and enter the quote reference, validity dates, origin and destination.
Next
Add rate lines
Add carriage, origin and destination lines with tariff item, unit, currency and rate, then mark the basic freight line and save.
Finally
Search when quoting
Use Search Buying Rates to find rates still valid on a chosen date for a lane, then export the list to Excel or PDF.
Questions
Questions and answers
How do freight forwarders store vendor rate quotes in Sailix?
- Each quote is saved under Buying Rates with the provider, vendor service, quote reference, quote date, valid till date, origin and destination. Rate lines sit under the quote with tariff type, tariff item, unit of measure, currency and rate, and exactly one line is flagged as the basic freight.
Can I search buying rates by lane and validity date?
- Yes. Search Buying Rates filters by provider type, provider, vendor service, origin, destination, route and tariff items. Untick the All box on Valid Till and enter a date to see only quotes that run to that day or later. Results show one row per rate line.
Does Sailix check for duplicate rate lines on a quote?
- Yes. A line counts as a duplicate when its tariff type, tariff item, unit of measure type, unit and currency all match another line on the same quote. Sailix also checks that the tariff item and unit are configured for the selected vendor service before accepting the line.
What does the Location wise Service Partners report show?
- It lists IFF service partner profiles at a location, narrowed by country and forwarder network group. Columns include the partner name, short name, network group, address, telephone, email, key person, ranking and status. You can produce it as a PDF or as an XML file.
