Freight forwarding
Overview
Every financial document in the forwarding module hangs off a job. IFF Invoice raises a sales invoice against one job and posts it to accounting as it is saved. Freight Journals record the vendor side: purchase journals, debit notes, credit notes and vendor credits, each with tax, and each posted to the ledger once confirmed.
Until a job is closed, its revenue and cost sit in work in progress accounts. The Cost Provision Journal accrues estimated costs before vendors bill. The Job Closing Journal then moves each finished job's revenue and cost from work in progress into the service's own revenue and cost ledgers, and holds back any job that fails a check.

Invoice per job
Pick the job and Sailix fills the service, routing and parties. Add charge lines and GST tax rows, save, and the invoice posts to the ledger.
Four freight journal types
Purchase journal, debit note, credit note and vendor credit share one form. Credit notes and vendor credits can reference the invoice, debit note or purchase journal they reverse.
Cost provision journal
Accrue a job's cost estimate lines before vendors bill. Lines come from the booking, and lines already used by a purchase journal are frozen.
Job closing journal
Close many jobs of one service and office in one journal. Each job shows its estimate, work in progress figures and variances, with the reason if it is held back.
Closing cancel and track
Take one job back out of a closing journal with a reversing entry and a remark. The Job Closing Track report lists every reversal.
WIP and job reports
WIP Job Summary shows what a work in progress account holds per job. Job Item Ledger shows revenue and cost per tariff item, with Excel and PDF export.

Invoice the job
Raise the IFF Invoice against the job. It is numbered and posted to accounting in the same step.
Then
Book vendor costs
Enter purchase journals against the job, pulling cost items from the booking estimate, and apply TDS where it is due.
Next
Provision what is unbilled
Raise a Cost Provision Journal for the estimated costs that vendors have not billed yet.
Finally
Close the job
Run the Job Closing Journal for the service and office. Jobs that pass the checks move from work in progress to profit and loss.

How does Sailix show profit on a forwarding job?
- The Job Item Ledger report lists every revenue and cost movement on a job, tariff item by tariff item, and shows income less expense as the margin. It can report the posted figures or the booking estimate, so the desk can compare what was planned with what was invoiced and billed.
What is a job closing journal in freight forwarding?
- It is the document that closes finished jobs. In Sailix it debits the work in progress income account and credits the service's revenue ledger, and credits the work in progress expense account and debits the service's cost ledger. One journal can close up to 200 jobs of one service and office.
Can a closed forwarding job be reopened?
- Yes. Job Closing Journal Cancel takes one job out of a closing journal that closed several. It posts the mirror of the closing entry, returns the job to the status it had before closing, and requires deletion remarks. The Job Closing Track report then shows the reversal with its reason and voucher.
Why would a job be held back from closing?
- Depending on your IFF voucher configuration, Sailix holds back a job whose operation is not completed, or whose estimate differs from what was actually invoiced or billed. The reason is written against the job in the list. The admin version of the journal has override switches for these cases.
