Overview

Accounts desks in Sailix work from one set of screens under FA Transactions: receipt vouchers, payment vouchers, the contra journal, purchase and sales journals, and credit and debit notes. Each of these writes its ledger voucher in the same transaction as the document, so a voucher that cannot be posted is not saved at all.

A receipt voucher also settles the invoice it pays. Pick the party and one of its import, export, detention or repair invoices, enter how the money arrived, and the invoice status moves with the voucher. For export shipments this is what clears the bill of lading for issue, because issue waits until the export invoice has been receipted.

What it does

  • Receipt vouchers

    Record cash, bank or PDC receipts with payment lines for cash, cheque, TT, DD or online, each with its reference, date and bank, and settle the invoice being paid.

  • Payment vouchers

    The same form records cash, bank and PDC payments to a party, with account lines in local and foreign currency and the party's TDS deducted where it is configured.

  • Contra journal

    Move funds between bank, cash and PDC accounts with the instrument type and cheque details. Sailix rejects a contra that names the same account on both sides.

  • Purchase and sales journals

    Enter vendor bills and free-form sales invoices against ledger accounts, with tax lines, a due date and an AR/AP reference. The party leg becomes an open item for settlement.

  • Credit and debit notes

    Raise a note for a customer or a vendor with its own tax lines and reference. Each posts to the party's control account with the matching income or expense leg.

  • General journal

    Keep multi-line debit and credit entries with currency, rate and cheque details. The form checks that debits equal credits, and numbers follow the office and financial year.

Workflow

How it works

  1. First

    Raise the document

    Operations raise the export or import invoice, or accounts enter the vendor bill in the purchase journal, which opens the amount against the party.

  2. Then

    Record the money

    Create the receipt or payment voucher, choose the cash or bank account and the party, and add the account and payment lines. The exchange rate fills in from the rate master.

  3. Next

    Save to post

    On save, Sailix numbers the voucher, checks that debits equal credits and writes the ledger entries. A voucher dated inside a closed financial year is refused.

  4. Finally

    Correct by reversal

    Editing a receipt, payment, contra or sales journal reverses the original ledger voucher and posts the new version, so the earlier entry stays on record as reversed.

Questions and answers

Do vouchers post to the ledger automatically in Sailix?

Yes. Receipt and payment vouchers, contra journals, purchase and sales journals, and credit and debit notes post a ledger voucher at the moment they are saved, inside the same database transaction. If the posting fails, for example because an account mapping is missing, the document is not saved.

Can a receipt voucher settle an invoice directly?

Yes. The receipt form lists the party's import, export, detention and repair invoices, filtered by unpaid or paid, and you select the one being paid. Import, detention and repair invoices track the amount received and become partial or paid. Export invoices are marked paid.

What happens if debits and credits do not balance?

The posting engine requires every ledger voucher to balance. A difference of up to one hundredth of a currency unit is posted to the rounding account, and anything larger is rejected with an error, so an unbalanced voucher never reaches the ledger.

How are voucher numbers generated?

Receipts, payments, contra journals and general journals take a prefix, the office code, a running sequence and the financial year. Ledger vouchers are numbered separately by voucher type and financial year. Purchase and sales journals and notes use their own running counts.
