Overview

An arrival notice tells the consignee that the cargo is arriving and what it will cost to collect. In Sailix the Arrival Notice screen starts from the import B/L. Search by B/L number or line, see whether the vessel has arrived and whether a notice has already gone out, and open the B/L to prepare one.

The notice dashboard has three tabs. The first summarizes the voyage, parties and charges for the B/L. The second lets you edit the charge lines, which default from the line's collection costs for the port or terminal. The third shows the finished PDF beside the message, for checking, download and marking as sent.

    Search import B/Ls by number or line and see origin, destination, vessel and voyage, arrival status and whether a notice is already sent.

    Charge lines prefill from the line's import collection costs, scoped port-wide or to a specific terminal, with per-B/L and per-container units.

  • Editable charge lines

    Add, remove or change the tariff, currency, unit and rate on each charge, and watch the tax rows recalculate before you save.

  • Arrival notice PDF

    Generate a PDF with consignee details, vessel, voyage, ports, containers and the charge table, under your organization's name, logo and address.

  • Sent status on the B/L

    Marking a notice as sent updates the import B/L, so the picker, the import wizard and the invoice form all show that the consignee was notified.

  • Charges carry to invoice

    Charges saved on the arrival notice become the starting lines of the import invoice for that B/L, with the same tariff items and tax groups.

How it works

    Find the B/L

    Open Arrival Notice and search by B/L number or line. Open the B/L you want to notify.

  2. Then

    Check the summary

    Review vessel, arrival date, port, principal, parties and the charges Sailix has proposed.

  3. Next

    Adjust the charges

    On the charges tab, choose port-wide or terminal scope, edit the lines and save them.

  4. Finally

    Issue the notice

    Preview the PDF, download it for the consignee and mark the notice as sent.

How do I create an arrival notice in Sailix?

Open Arrival Notice from the Import menu, search for the import B/L and open it. Sailix loads the voyage, parties and default charges. Review or edit the charges, preview the PDF, then mark the notice as sent. The import wizard opens the same screen at its arrival notice step.

Where do the charges on an arrival notice come from?

They default from the import collection costs configured for the line at the discharge port, or at a specific terminal if you select one. You can change any line before saving. If no charges were saved, marking the notice as sent stores the defaults for that B/L.

Can I download the arrival notice as a PDF?

Yes. The dashboard renders the notice as a PDF with your organization details, the consignee, vessel and voyage, ports, containers and charges with tax. You can preview it on screen, open it in a new tab or download it. Sailix Bot can also return a download link.

Does the arrival notice affect the import invoice?

Yes. When you raise the import invoice for the same B/L, Sailix uses the charges saved on the arrival notice as the invoice lines, with matching tariff items and tax groups. If none were saved, the invoice falls back to the line's collection costs.
