Overview
The FA Reports menu in Sailix reads posted ledger entries. The trial balance, profit and loss and balance sheet sum those entries in local currency and group them by the chart of accounts, so the reports follow the hierarchy you built. Most are generated as a PDF or Excel file from a criteria screen, filtered by date and by office.
Book-level reports go down to the voucher line. The general ledger, cash book and bank book show the opening balance, debits, credits and a running balance for an account, in summary or detail. The accounting party ledger does the same per customer, vendor or line, and Transaction Search finds a posted line by voucher number, account, amount or narration.
Capabilities
What it does
Trial balance
Opening, period and closing balances in debit and credit, grouped by the chart of accounts with group totals. Ledgers with a zero balance can be suppressed.
Profit and loss
Income and expense for a date range, grouped by account group and ending in net profit, filtered by office and downloaded as PDF or Excel.
Balance sheet
Assets and liabilities as at a date, grouped by account group, with the profit or loss for the period carried on the liability side.
General ledger and books
The general ledger, cash book and bank book share summary and detail layouts, including foreign currency and opposite-transaction detail, with opening and closing lines.
Accounting party ledger
An on-screen ledger per party with voucher number, date, type, narration, debit, credit and running balance, in summary, detailed and outstanding layouts, exportable to Excel and PDF.
Transaction search
Search posted lines by journal, voucher number, account, AR/AP reference, narration, amount or job reference. Each row links to its source document, and results export to Excel.
Workflow
How it works
First
Post the period's entries
Make sure the period's vouchers, journals and notes are saved, since the statements are built only from entries that have posted to the ledger.
Then
Check the trial balance
Generate the trial balance for the date range and offices you need, and review opening, period and closing figures group by group.
Next
Produce the statements
Generate the profit and loss for the same range and the balance sheet as at the closing date, in PDF for review or Excel for further work.
Finally
Trace a figure
Run the general ledger in detail for the account in question, then use Transaction Search to open the source document behind a line.
Questions
Questions and answers
Which financial reports does Sailix include?
- Under FA Reports you will find the trial balance, profit and loss, balance sheet, general ledger, cash book, bank book, accounting party ledger, party outstanding, party ageing, sales person outstanding, bank reconciliation report, daily collection report, PDC collection, PDC stock and transaction search.
Can I export the trial balance and balance sheet to Excel?
- Yes. The trial balance, profit and loss and balance sheet each generate as a PDF or an Excel file from their criteria screen. The general ledger, cash book and bank book do the same. Transaction Search exports to Excel, and the party ledger to Excel and PDF.
Are the reports built from posted entries or from documents?
- The trial balance, profit and loss and balance sheet are built from posted ledger entries in local currency, classified by the top-level group of each account. The accounting party ledger also brings in export and import invoices, so a party's balance reflects what was billed.
Can I filter financial reports by branch or office?
- Yes. The trial balance, profit and loss, balance sheet, general ledger and party reports all accept an office selection alongside the date criteria. The general ledger can also be limited to one ledger account and one currency.
